Kontribute User Manual

Learn how to launch events, reconcile contributions, and supercharge your fundraising with the WhatsApp Bot.

1. Getting Started

Welcome to Kontribute! Whether you are raising funds for a wedding, funeral, or a community cause, everything revolves around your Event.

Creating an Event

  1. Navigate to your Dashboard using the main menu.
  2. Click on the "Create Event" button.
  3. Fill in the necessary details: Title, Description, Financial Goal, and Currency.
  4. Once created, you will be redirected to your public Event Page. You can copy the URL and share it with your community to start accepting funds!

2. Your Dashboard

Your Dashboard is your personal command center. It gives you a birds-eye view of all the events you own or help manage.

  • Overview Tab: See total funds raised across all your active campaigns.
  • Events Tab: A list of all your events. Click on any event to view its public page, stats, and settings.
  • Contributions Tab: A quick feed of recent payments and pledges made to your events.

3. Adding & Managing Contributions

As an Event Owner or Treasurer, you have special privileges to manually log offline payments (Cash/Bank Transfers) and track pledges directly from your Event Page.

Logging a Manual Contribution or Pledge

  1. Navigate to your public Event Page.
  2. In the Contribution Form, you will see a special "Treasurer Entry" or "Manual" option.
  3. Search for an existing group member or type in a custom name.
  4. Enter the amount and select the payment method (Cash or Bank Transfer).
  5. Important: If the money has not been paid yet, check the "This is a pledge" box. If the money has already been collected, leave it unchecked.
  6. Submit the form. The record will instantly appear on the event feed!

Fulfilling and Managing Pledges

When a contributor pays off their pledge (or makes a partial payment), you need to update it in the system:

  1. On your Event Page, scroll down to the Pledges tab.
  2. Click directly on the pledge you want to update. This will open the Pledge Details page.
  3. Here, you can log a new Installment to partially or fully pay off the pledge.
  4. If a pledge was made by mistake, you can click the "Manage" button on the Pledges tab to quickly select and delete invalid pledges.

4. Reconciling Contributions

When contributors make a payment using Cash or Bank Transfer, the platform registers it as Pending. As an event owner or treasurer, it is your responsibility to verify these funds.

  1. Click on "Reconciliation" in the main navigation menu.
  2. You will see a list of all Pending manual payments.
  3. Once you verify the cash has been handed to you or the money reflects in your bank account, click the "Approve" or "Reconcile" button next to the contribution.
  4. The contribution will instantly be marked as Completed and added to your event's total raised amount!

4. WhatsApp Bot

Kontribute's defining feature is the WhatsApp AI Bot, acting as an automated treasurer for your WhatsApp community.

Linking your WhatsApp Group

  1. Go to your Event Page and click the "Edit Event" button.
  2. Scroll down to the WhatsApp Integration section.
  3. Paste your WhatsApp Group Invite Link (e.g., chat.whatsapp.com/...) and save.
  4. The bot will automatically join your group and introduce itself!

Member Commands

Once in the group, any member can type these commands in the chat to get instant information:

-stats
Shows the live progress bar, total raised, and the goal.
-list
Displays a full numbered list of all contributors and their amounts.
-mycontributions
The bot looks up the user's phone number and shows their personal contribution history.
-top
Shows the leaderboard of the top contributors.

5. Managing the Bot

As an event owner or a WhatsApp Group Admin, you have total control over the bot's behavior.

Admin-Only WhatsApp Commands

If you are an Admin of the WhatsApp group, you can use these exclusive commands directly in the chat:

  • -mute : Silences the bot. It will stop sending automated updates (like Daily Summaries) and will not respond to member commands.
  • -unmute : Re-enables the bot's functionality.
  • -kick @user : Instantly removes a tagged member from the group.
  • -extract : The bot will immediately generate and send an Excel sheet containing the names and phone numbers of everyone in the group.

Disconnecting the Bot

If you want to completely remove the bot from the group and sever the link:

  1. Go to your Event Settings (Edit Event) page.
  2. Under WhatsApp Integration, click the red "Disconnect Group" button.
  3. The bot will automatically leave the WhatsApp group, and the group will be permanently unlinked from your event.

Note on "Admins Only" Groups: If you change your WhatsApp group settings to "Only Admins can send messages", ensure the Bot is promoted to an Admin. Otherwise, the bot will gracefully detect the restriction and remain silent to avoid errors.
